Q: Who is eligible to receive the student rate?

A: Current full-time students and trainees with valid proof of academic materials are eligible for the student rate.

Q: How can I submit an abstract?

A: After registering for the conference, you can submit your abstract online by “Abstract”. Abstracts sent in the form of hard copies or emails will not be accepted. Please note the deadline for abstracts is July 15th, 2019.

Q: How will I know if my abstract has been accepted?

A:  A notification will be sent to the corresponding author by September 2019 via email.

Q: Will I only be notified if my abstract is accepted?

A: YES, once the abstract has been accepted, the author will be notified by email. As such, please make sure that the contact information for the presenting author is up to date.

Q: Can you please clarify the time constrain of disclosures?

A: All disclosures should be listed if relevant to the abstract content and all others within the last 1 year.

Q: Can abstracts be changed once they have been submitted?

A: Changes can be made to your abstract before the submission deadline (submission deadline: July 15th, 2019). Once the deadline has passed, you will no longer be able to modify your abstract.

Q: Who owns the copy right of the submitted abstracts / Posters?
A: The copy right is automatically owned by the abstract’s author(s). In case you would like to use the data, you must have the authors permission.

Q: Are authors eligible for a reduced registration rate?

A: No, there is no special registration rate for abstract authors.

Q: Can a conferee attend a meeting without submitting an abstract?

A: YES. All levels of participation are welcome. 2019 ISRG Beijing Conference meeting will provide an exceptional learning and networking experience.

Q: What is covered in the registration fee?

A: The registration fee includes: name badges, conference materials, admission to all scientific sessions, and meal/refreshment functions listed in the program.

Q: Is the registration fee refundable?

A: To receive a refund, please submit your request to the ISRG Treasurer. Full refunds will be applied if the conference is cancelled. ISRG accepts no responsibility and offers no reimbursement for airfare or other expenses incurred by participants.

A full refund will be issued if registration is canceled on or before Aug 31, 2019. If registration is canceled between September 1 and October 10, a 50% reimbursement will be issued. If registration is canceled after October 10, no refund will be issued.

Q: Are group registration discounts offered?

A: We do not offer group registration discounts at this time. All discounts and their deadlines are listed on the meeting webpage.

Q: Can additional registration receipts be issued at the meeting?

A: YES, additional receipts will be available at the meeting. Additional receipts can be acquired at the 2019 ISRG registration/check-in desk from Oct. 25 to 27, 2019.

Q: When will I know the day and time of my presentation?

A: The notification letter that you receive after your registration is complete and reviewed, will include the day and time of your presentation and preparation instructions.

DURING CONFERENCE

Q: When will conferees receive a name badge and the conference material?

A: Name badges and conference materials are presented at the registration/check-in desk, on Oct. 25, 2019 from 8 a.m. to 10.p.m. and the morning of Oct. 26, 2019. All attendees and speakers must check-in at the registration desk. Name badges must be worn at all times to ensure entrance into the meetings.

Q: When do I check-in for the meeting?

A: If you arrive after 10 p.m. on Oct. 25, you can register for the meeting the next morning. If you miss the posted registration time, please contact our on-site staff.

Q: Can spouses come to the meetings?

A: Only paid registrants can enter the meeting sessions. Exception will be made if you wish to attend your spouse’s talk; please see the on-site staff person to get a temporary badge to be able to attend their session.

Q: Can special foods such as vegan or halal be requested?

A: YES, attendees and speakers who have special dietary restrictions should contact ISRG_2019@163.com. Please try to contact us at least two weeks before the meeting starts to allow us to plan accordingly with the conference center.

Q: Can I make my own travel and hotel arrangements?

A: YES, hotel and transport information is provided on the website for your reference only.

Q: Is there a deposit required when booking lodging?

A: YES. While deposit requirements vary from site to site, many of our hotels do require some sort of an advanced deposit. Please confirm directly with the hotel at the time of booking.

Q: Are there any discounts for lodging?

A: YES. We have reserved a certain number of rooms at a special rate at the Kuntai hotel. You could either check in on Oct. 25, 2019 and check out on Oct. 27, 2019 for two nights stay or check in on Oct. 25, 2019 and check out on Oct. 28, 2019 for three nights stay with 750 rmb one night with breakfast. Please book your room via email (kevin_zhang@kuntaihotel.com) only, along with your other requests.

Q: How do I cancel my reservation?

A: Invited speakers and contributed speakers please contact zyang888@hotmail.com. Please refer to the registration tab on the conference website for more information regarding a registration fee refund. Transportation and lodging must be cancelled directly with the hotel or transportation company.

Q: When will I receive my cancellation refund?

A: Registration refunds, if applicable, will be processed within 30-60 days of the cancellation.

Q: How can I get a visa for the conference?

A: Please fill the “2019 ISRG Visa Application Form” and send it to isrg@biopic.pku.edu.cn for an Invitation Letter of Duly Authorized Unit.

We encourage participants intending to come to China to apply for their visa AS SOON AS POSSIBLE.

 
POLICY

Q: Is there a 2019 ISRG Beijing Conference liability policy?

A: Photo, Video and Advertising Waiver: By attending an ISRG event, you grant ISRG permission to use your name, likeness and your statements about the event in photographs, videos, advertising and/or any other type of promotional material. Unless you revoke this permission in writing to the ISRG.

Travel, Visas, Health: I understand that it is my responsibility to be aware of any travel restrictions, visa requirements or health issues that may affect my participation. Knowing this, I affirm that I am able to participate in 2019 ISRG Beijing Conference events.

Release of Liability: I affirm that, while participating in 2019 ISRG Beijing Conference events, I am responsible for my own well-being. I am aware there are risk that I may experience, such as, serious personal injury or illness, economic loss, or property damage as a result of my participation in these events, consequently from defects in facilities, equipment, or food, adverse weather, or accidents while traveling. In exchange for the privilege of participating, I assume all such risks arising out of my participation. Also, I release, agree to indemnify, and hold harmless, the 2019 ISRG Beijing Conference, and its employees, directors, agents, successors and assigns from all claims and lawsuits arising out of such injury, illness, or damage.
